4 Receptionists

Pertinent Information: All positions are full-time with some flexibility in hours. Ideal candidates will be used to very fast paced environments and will be adaptable and able to work with the general public. Environment can be high stress at times and requires someone who is able to “roll with the punches”.

Wage: $20/hr to start with evaluation at three (3) months. Comprehensive benefits package + end of year bonus.

Location: East Windsor. Must have own transportation as public transportation is not available.

Job Description

Working in a fast paced office that is open seven (7) days per week, the Receptionists are the frontline representatives of the office, providing exceptional customer service and administrative support to a busy team. Primary responsibilities will be greeting, scheduling, managing records and files, handling inquiries and ensuring the smooth functioning of the office.

Responsibilities to include the following, but not limited to:

  • Providing administrative and clerical support to physicians and allied health professionals
  • Scheduling appointments, communicating appointments to patients and families or caregivers, and coordinating schedules to accommodate urgent appointments and initial triaging of patients
  • Greeting and directing patients in an efficient and professional manner
  • Collecting demographic information and health insurance information from patients, ensuring information in the electronic record is accurate
  • Answering telephones/checking emails with proper protocol and responding to patient inquiries based on knowledge of the Centres, policies, procedures and regulations.
  • Assuring all communications and transactions with patients and visitors are conducted in a mature, calm, sensitive and respectful manner.
  • Coordinating external referrals/investigations and communicating to patients
  • Effectively utilizing the electronic medical record (EMR)- to retrieve requested data
  • Utilizing electronic health record system to enter, retrieve and document patient information, clinical tasks, communications, and physician orders accurately and efficiently.
  • Scanning appropriate documents into EMR
  • Performing general administrative tasks such as word processing, filing, copying, faxing and mailing
  • Providing back up coverage for other administrative assistants within the clinic as required
  • Providing program support with minor administrative tasks, e.g. booking, rebooking and cancelling appointments
  • Responsible for checking patients in at their appointment and bringing them in to rooms
  • Responsible for helping with stocking/cleaning examination rooms/clinic and kitchen
  • Other duties as required

Qualifications

  • Strong customer service and reception/administrative experience is required
  • Diploma in Business Administration an asset, but not required – experience is key
  • The ideal candidate will have experience in a similar position within a healthcare environment
  • Excellent interpersonal skills, with proven ability to work well in a team environment
  • Ability to work with a variety of people, including the general public – must be able to handle high stress situations with ease
  • Must be able to multi-task and prioritize while working within a busy fast-paced environment
  • Exceptional customer service, communication and organizational skills with the ability to work independently and as a team member
  • Strong computer skills and knowledge of EMR system and computer scheduling systems
  • Strong written and oral communications skills
  • Ability to manage sensitive information with integrity and confidentiality
