Job Description
The Administrative Assistant will provide support to a team of Engineers, in order to ensure the efficient operation of the office. Responsibilities to include the following, but not limited to:
- Answering and directing phone calls
- Organizing and scheduling meetings and appointments
- Maintaining project lists and timesheets
- Downloading and organizing photographs and site notes
- Assisting in the preparation and issuance of reports (adding photographs, scanning and sending to clients)
- Assisting in the preparation and issuance of invoices
- Developing and maintaining a filing system
- Ordering office supplies
- Preparing expense reports
- Providing general support to visitors
- General office assistance
Qualifications
- Diploma in Business Administration
- Minimum two (2) years experience administrative experience in a dynamic environment
- Knowledge of office management systems and procedures
- Excellent time management skills and ability to multi-task and prioritize work
- Attention to detail and problem-solving skills
- Excellent written and verbal communications skills
- Strong organizational and planning skills
- Proficiency in MS Office – specifically Word and Excel
