Purchasing Coordinator

Job description

The Purchasing Coordinator is responsible for supporting procurement and inventory activities within a fast-paced manufacturing environment. This role ensures the timely purchasing of raw materials, production supplies, maintenance items, and services necessary to support uninterrupted manufacturing operations and deliverables.

  • Issue purchase orders for raw materials, packaging, production supplies, MRO (Maintenance, Repair & Operations) items, and indirect materials.
  • Monitor inventory levels and coordinate replenishment to avoid production interruptions or stock shortages.
  • Source materials and obtain competitive pricing, quotes, and delivery timelines from approved suppliers.
  • Maintain vendor relationships and communicate regarding order status, lead times, pricing discrepancies, and delivery concerns.
  • Expedite critical orders to support production schedules and urgent operational needs.
  • Ensure purchase orders are accurate and aligned with budgetary requirements and company policies
  • Maintain supplier records, pricing agreements, and procurement documentation.
  • Evaluate supplier performance related to quality, cost, delivery, and service levels.
  • Assist with onboarding new vendors and obtaining required compliance documentation.
  • Coordinate with suppliers to resolve invoice discrepancies and payment-related concerns.
  • Coordination and scheduling of outside processing through delivery to the job site.
  • Schedule/coordinate FTL and LTL shipments for outside processors to jobsite or plant
  • Maintain accurate purchasing records within ERP/MRP systems (e.g., SAP, Oracle, Microsoft Dynamics, Epicor, Plex, or similar).
  • Generate procurement reports related to spend analysis, inventory levels, supplier performance, and purchase history.
  • Ensure compliance with company purchasing procedures and manufacturing quality standards.
  • Support audits and maintain organized procurement documentation.
  • Other duties as assigned

Qualifications

  • Degree/diploma in Supply Chain Management, Purchasing, Logistics, or a related field preferred.
  • Minimum two (2) years of purchasing, procurement, inventory, or supply chain experience within a manufacturing environment preferred.
  • Experience with ERP/MRP systems and purchase order management.
  • Strong understanding of manufacturing operations, inventory control, and supply chain processes.
  • Proficiency in Microsoft Office, particularly Excel for tracking, reporting, and analysis.
  • Excellent organizational, multitasking, and time management skills in a high-volume environment.
  • Strong negotiation, communication, and relationship-building abilities.
  • Ability to prioritize urgent production needs and work effectively under pressure.
